Regional Conference Planning Team Member Position Description

Participates as an active member of the team planning the regional conference for all needs before, during, and after the conference.

Team Responsibilities:

  • Ensure that the ACUI core competencies are seamlessly incorporated into all educational aspects of the conference.
  • Ensure that designated tracks and conference experiences are of the highest quality, and meet the needs, of all members of the ACUI regional community.
  • Incorporate student development theory and practice into the conference that can help to guide our work with students and campus leaders.
  • Seek educational programs that exhibit best practices in the profession, content experts who are forward thinking, and sessions that share new discoveries and create conversations on challenging issues in the field.
  • Enhance communication with ACUI communities of practice
  • Strengthen partnerships with ACUI Expo members to increase sponsored program offerings and augment the exhibit hall experience.
  • Use technology to strengthen recruitment, communication, and the delivery of the conference program.

Every member of the Regional Conference Planning Team is expected to:

  • Attend and participate in all team planning meetings and conference calls as determined by the team throughout the year.
  • Register for and attend the regional conference.
  • Participate in regular conference calls with other regional counterparts as needed.
  • Act as a resource person for the region and campus organizations.
  • Inspire student involvement in the regional conference and other ACUI programs and services.
  • Provide information to help promote the activities, services, and events of the region through appropriate regional communications opportunities.
  • Adhere to the policies and procedures of the Association.

The makeup of the Regional Conference Planning Team will vary among regions, but note that all teams are expected to include: a team member to serve as the host coordinator, who is identified through site selection process; and a team member to lead the educational components of the conference, who is selected through the team application process.


Applicants must be employed in a college union/student activities or related department at a member institution that has committed to provide institutional support. For students, they must be a degree-seeking undergraduate or graduate student who is not a full-time employee at the institution and is involved in a college union/student activities department. Membership in good standing at a member institution in good standing is required, as well as a commitment to fulfilling the duties of the position for the length of the term. If selected, the candidate must be able to sign the ACUI Volunteer Agreement Form.

Additional qualifications include:

  • Broad range of experience at ACUI regional and annual conferences, programs, and workshops.
  • Demonstrated performance in organizational leadership, motivation, communication, and listening skills.
  • Demonstrated commitment to affirmative action and multiculturalism.
  • Comprehensive knowledge of the Association’s core competencies and skill sets.

Also, to foster involvement opportunities within each region, please note that current members of a Regional Leadership Team are not eligible to also serve on the Regional Conference Planning Team. Regional Leadership Team members will have opportunities to contribute to the regional conference in different ways through their roles.

Selection Process:

A selection committee from each region made up of members of the Regional Leadership Team will recommend a slate of candidates for approval by the Regional Conference Coordinator.
